<p>Dear Doctors and Staff,</p>
<p>Our lives changed as our country changed last September 11th. One of the things I&#8217;ve personally noticed over the past year is a new sense of hope and patriotism as we go about our personal and professional lives. In your office have you noticed that your staff seem more helpful to one another and your patients just a little bit more appreciative of the care rendered? Have you noticed a slow down or drastic improvement in your productivity? Many of our active clients are reporting their best year ever with numbers that have continually climbed in spite of other businesses slowing down.</p>
<p>Our business has been exceptionally busy the past few months with a surge of calls from meeting planners and a cry for in-office consulting from dentists who have never attended our seminars or been referred by another client. This, however is where almost all of our business came from over the past two decades. Is it because we offer hope? &#8220;When the times get tough, the tough get going!&#8221; I believe slow times are a resting spot in the road of life. How each practice deals with a slower time determines how fast the slow times last. Right now are you sharpening your axe while getting ready to &#8220;hit the ground running&#8221; in 2003. I was asked to give the dentists on Dental Town the Top 12 components of a successful practice. Following is an excerpt of that message:</p>
<p>1) A positive attitude. You get what you expect! Your attitude not only determines your ALTITUDE; it also determines your energy level. Without the proper mind-set and energy, one never reaches their full potential or happiness.</p>
<p>2) Outstanding clinical skills. Be a continuous student of the many fine clinicians mentioned on this site.</p>
<p>3) A well trained, trusted staff who believes in your dentistry, your fees and your goals.</p>
<p>4) Leadership at all levels. The dentist can&#8217;t be the only leader, but must be able to share this role with team members. (Accountability is a major form of leadership).</p>
<p>5) Up-to-date equipment and technology. Go to courses on technology and visit trade shows. They are there FOR YOU, not because they like standing on a concrete floor for three days at a stretch and smiling. (&#8220;Boothies&#8221; have my sympathies as I&#8217;ve done my share of booths over the years.) They love for curious dentists and staff members to come by and check everything out.</p>
<p>6) Management skills and the know-how to use your computer reports to become consultants to your own practice.</p>
<p>7) A facility that attracts the patients who want the best possible care in the cleanest and most efficiently run environment. Not every dentist has a new state of the art facility but every dentist should have a clean, uncluttered, and well-organized office.</p>
<p> <img src='http://www.dentalmanagementu.com/news/wp-includes/images/smilies/icon_cool.gif' alt='8)' class='wp-smiley' /> Trusted advisors and mentors such as accountants, insurance advisors (business and personal), investment counselors, bankers, sales representatives, coaches and/or consultants.</p>
<p>9) A strong hygiene department as it &#8220;drives&#8221; the entire practice. In every successful practice I&#8217;ve followed for 20 years, hygiene is 1/3 of the total volume per month (40% if exams are counted). When hygiene goes down, so does the entire practice.</p>
<p>10)Outstanding communication skills not just from one person but the entire staff and dentist. You are only as strong as your weakest link in this area, so verbal skills must be superb at every stage of the patient&#8217;s visit.</p>
<p>11) A properly engineered schedule. Many practices take 30 names and throw them into the computer and pray they live through it. The key to low stress and high productivity is effective double scheduling of doctor time opposite assistant time. Show me a dentist who is working out of two rooms with only one assistant running from room to room, and I&#8217;ll show you a dentist who is losing $1000 (plus) per day. The dentist doesn&#8217;t have to be in two places at once. They have to hire, train and trust two very brilliant dental assistants. The dentists do not work harder, they work within the law, and they go home happy tired not stressed tired!</p>
<p>12)Presentation skills must be excellent. Someone had a seminar entitled &#8220;Nothing Happens Until the Patient Says Yes&#8221;. A big part of the yes comes from relationship building and creative financing options. A large percentage of cases fall apart in the financial discussions. This skill is by far as important as knowing how to do the dentistry.</p>

<p>GOD BLESS AMERICA: A PRAYER AND A FACT<br />

<p>While the World Trade Center was burning and collapsing, while the Pentagon was absorbing the crash of a commercial airliner filled with innocent souls, and while a wounded nation gathered the evidence of heroism aboard United Airlines Flight 93, I was preparing to give the keynote address to the North Carolina Telephone Association Executives Conference at the Pinehurst Hotel.</p>
<p>The ominous reports began arriving seconds before I stepped to the microphone. The executives, with only sketchy details of what was happening, decided that I should go on with my remarks.</p>
<p>As I looked out over my audience at this pivotal moment in our national experience, I felt a brotherly solidarity with the people in that room. We were Americans. And I knew that whatever the threat, whatever the origin of this instant of infamy, this nation &#8212; our country &#8212; would endure and excel.</p>
<p>I am an American by conviction, a North Carolinian by choice. When I came to the United States as a penniless youth, I knew &#8212; even before I knew the language &#8212; that this was my country. I had to fill out 38 forms, side A &amp; B, to become an American, and I&#8217;ve told 5,000 audiences over the last 30 years how thankful we all should be to live in a land so abundant in material and spiritual riches.</p>
<p>As I look back over the year that has passed since that awful morning, I am heartened by the outpouring of patriotic sentiment from Americans of all races, creeds, and economic levels.</p>
<p>As I have crisscrossed America to address audiences in all corners of the land, I have spotted a heartwarming trend. I find myself much more often flanked by the national colors as I stand on the podium. I hear the National Anthem played much more frequently. And I have noticed the re-emergence of our &#8220;Second National Anthem,&#8221; the poignant call to patriotism sounded by Irvin G. Berlin in 1938 &#8220;while the storm clouds gather from across the sea&#8221;: God Bless America.</p>
<p>That song became the unofficial anthem of Sept. 11, 2001, and it expresses not only a hope but also a fact: God has blessed America in manifold ways. It&#8217;s a fact that we seem to acknowledge most fervently in moments of national danger or distress, but it&#8217;s something we should keep in our hearts in good times and bad.</p>
<p>We are a strong people, a tough and stable alloy forged from the mettle of many lands. You need only run down a list of the victims of 9-11-01 to sense the aptness of the motto stamped on our coins: E pluribus unum &#8212; &#8220;Out of Many, One.&#8221;</p>
<p>While the debris was raining on Lower Manhattan, the smoke was enveloping the whole of New York, the president was assessing the situation from Air Force One, and the entire government was preparing for the worst, I reminded my Pinehurst audience of the gloomy day in 1974 when the president of the United States resigned. The next day, we went to work and school under a new president, chosen by a constitutional procedure that Americans everywhere accepted and abided by. We would meet this new challenge with the same unflappable calm.<br />
Since Sept. 11, 2001, we have demonstrated anew the essential integrity of this blessed land. We have survived the attack, learned from it, and committed ourselves to work together to protect this country without sacrificing our freedom and values.</p>
<p>Our hearts go out to the families of the victims. We salute them and their loved ones with our prayers, our support, and our desire to help rebuild that which was so unfairly destroyed.</p>
<p>Every day I thank God for the gift of freedom I enjoy as an American, for the blessing of purposeful work, and for the joy that stems from being a member of a vibrant and growing community.</p>
<p>By embracing the dream and applying our efforts and talents, we can have success and significance, happiness and joy, balance in business and in life. With open hearts and willing souls, we can create abundance from adversity and cross the difficult chasms of life with faith and fortitude.</p>
<p>I am eternally grateful to my country for opening these possibilities to me. I have made it my endeavor to repay this great land for the kindnesses it has rendered me and the opportunities it has offered me. So may we all.</p>

<p>Welcome to fall and the fourth quarter of 2001. I hope the first three quarters of 2001 have been good in spite of the economic downturn many practices are reporting, especially since the attacks on America a month ago. The stock market has bottomed out (hopefully) and will start to rebound. Many dentists over the age of 55 are re-thinking their retirement plans as of a month ago. The worst thing anyone can do is panic and get out of the market. Many wise investors use this down time to purchase stocks, knowing it will eventually improve as has been the market&#8217;s track record over the past decades.</p>
<p>We have had a tremendous response to our two day Dental Business Conferences hosted by Pauline Grabowski and LLM&amp;A. Clients from as far away as Michigan are coming to Virginia Beach November 30 and December 1st for the best management investment a practice can make, according to the positive feed-back received from attendees in the past. While things are a little slower, smart dentists use this time wisely to &#8220;sharpen their axes&#8221;, so that when things return to normal, they will be ready and able to hit the ground running with a higher degree of efficiency, improved communication, team cohesiveness, and improved marketing strategies. Managing a dental practice is truly a team effort so bring, don&#8217;t send the staff. Don&#8217;t delay! Limited attendance means some offices may have to wait until March for this program, which is on a first come/first registered basis. Pauline Grabowski is a local Virginia Beach consultant I met last year when I learned of her training center for dental business staff with a heavy emphasis on computer training. Pauline and I are also in the midst of creating a New Dentist Consultation for start up practices. This program will be available in the spring of 2002. Pauline will also be our Licensed Dental Business Conference Trainer in the state of Virginia, joining nine others who will represent a particular state beginning next year. Many people have asked if I am semi-retiring. Actually, I&#8217;m slowing down to &#8220;shift gears&#8221; on many new and exciting projects. My joy is designing new and better ways to assist dental teams in their quest to better serve their patients. <p>It has been a month of redefining what&#8217;s really important in life since September 11th. In August I was concerned about the cabinet door in our new home that wasn&#8217;t quite right, and the draperies that were supposed to be delivered in 6-8 weeks and were late. Funny how those things are now &#8220;small stuff&#8221; and ridiculous concerns compared to the aftermath of the attacks on America. For those of you who missed the presidential speech on September 20th, you missed one of the best speeches I&#8217;ve heard in my lifetime. As you know I love studying body language. Did anyone notice Hillary Clinton&#8217;s body language when the cameras were on her three times during President Bush&#8217;s speech? My audience in Ft. Worth the following day definitely noticed she wasn&#8217;t exactly a happy camper! Speaking of Ft Worth District Dental Society, what a great group of caring, sharing dentists and staff. Dr. Paul Davis asked if I thought it would be appropriate to pass a basket for the Red Cross Disaster Fund at our seminar of close to 300 people. We were pleased to announce to the audience that over $3500 was collected which made all of us feel good. Have you noticed how our country has united and become so much closer to the principles we learned from the good people in our lives? I told my audience last week in Minnesota that I have a new seminar topic entitled &#8220;The &#8220;F&#8221; Words Are All That Matters&#8221; (Faith, Family, Friends, and Freedom).</p>
<p>While driving around town running errands and keeping appointments the other day, I was intrigued by a local dentist&#8217;s radio ad, which was very professionally done. I immediately called his Virginia Beach office to inquire as to the results of the ad on Sedation Dentistry. After learning just how successful the ad and the procedure has been, I asked Dr. Jeff Leidy to send me some information so that I might pass it on to my readers of Dynamic Data.</p>
<p>Here&#8217;s the information:</p>
<p>I have been using oral conscious sedation in my practice for approximately one year, and I would like to relay my experiences with this method of treatment delivery. Dr. Michael Silverman introduced me to this protocol through the D.O.C.S. organization, of which I am a member. D.O.C.S. stands for Dental Organization for Conscious Sedation, and was formed and founded by Dr. Silverman. His impetus for its creation is to reach the estimated 145 million people actively avoiding dental care out of fear or lack of time. These people are not active patients in any dental office, and seek treatment only to relieve a toothache. Unfortunately, this cycle of emergency care can often perpetuate unpleasant experiences, and often these individuals even lose trust in personal recommendations and referrals. Dr. Silverman and D.O.C.S.&#8217;s purpose is to provide its members with standardized training and continuing education in oral conscious sedation, establish equipment and supply sources for its doctors, and provide general support for its practitioners through tested promotional and marketing strategies. The marketing materials are an important element of incorporating this protocol into an office, since patients who benefit most from sedation dentistry must be made aware of this technique, and they are not a regular dental patient at any office. The D.O.C.S. materials are designed to reach this select group of potential patients. D.O.C.S. membership includes a pledge to follow its guidelines. Oral conscious sedation is inherently very safe, but to ensure that a practitioner is fully prepared for every circumstance, D.O.C.S. offices are to be properly equipped and patients continuously monitored per D.O.C.S. recommendations. Fortunately, this is very easy to do, as the organization provides sources for the medications and equipment. Their recommended monitoring equipment even comes with presets already programmed. It&#8217;s ready to use. The guidelines require limiting oral sedation to generally healthy adults, using the American Society of Anesthesiology rating system. Patients with more complex medical conditions may also be treated using oral conscious sedation, but additional guidelines apply to these circumstances. The medication itself is not new. It is in the benzodiazepine family and has been used for decades. Dr. Silverman&#8217;s contribution has been the refinement of the administration of this medication for dental treatment. In addition to new levels of comfort for the patient (many of them do snore during treatment), there is a strong amnesic effect from the medication. Many patients remember little of the appointment the next day and they are extremely pleased about this aspect of the process. Besides comfort, the second greatest benefit is the ability to perform multiple procedures during longer appointments. The patients do not physically tire, as they would with full awareness, and time perception is altered. A patient who has just completed a four-hour appointment may think they were under treatment for fifteen or twenty minutes. This technique has been tremendously helpful to my practice. In addition to providing care to individuals who would otherwise never be reached, it is something that we can offer our existing patients who require extensive treatment. They are simply not fatigued as they would be without sedation, and they appreciate the time saved over traditional multiple appointment treatment plans. <p>DYNAMIC DATA SEPTEMBER, 2001</p>
<p>September 11, 2001 will be a day that etches the history of our country while branding us with fear for our freedom. Last week the things that bothered us seem trivial today in the aftermath of the attacks on NY and DC. As we go through the motions of each day, our hearts are heavy and our minds are clouded with doubts that the once bright future will ever be the same.</p>
<p>Our phones and e-mails have been busy with questions of &#8220;what can I do, I have just signed my life away on a new office loan&#8221;, or &#8220;should I abandon the plan of starting a new practice from scratch?&#8221; Will the economy be stable enough to move forward with my plans? I know of three friends who just started a new business leaving the comfort of a full time job to launch their business. Should they abandon their plans?</p>
<p>While the changes that took place in our world Tuesday of this week will definitely impact the outcome and future of many practices and businesses, we can not let the perpetrators win. To give up future dreams and goals, to alter our lives even a little means defeat. Americans are strong and forgiving. These acts of terrorism however can&#8217;t be ignored.</p>
<p>As one doctor said, &#8220;our first impulse is to turn Afghanistan and Pakistan into parking lots if they are in fact responsible for this&#8221;. But as this wise man also said, &#8220;if you have a mouse in your house, you don&#8217;t blow up the house to get rid of the mouse&#8221;. While we all have our personal opinions, we must stand by our President and his advisors and know that they know much more about this than we know. We must have faith in the system and accept the plan that is proposed by our government.</p>
<p>The Virginia State Dental Meeting was cancelled the day after the attacks. As much as I was looking forward to speaking Saturday, September 15th, and seeing all my Virginia friends, I respect the Executive Director&#8217;s decision and fully understand that in Washington, DC, going on with the plans would not have been wise. With air traffic so unpredictable, it is likely many other meetings will be cancelled or postponed. Pauline Grabowski, a local Virginia Beach Consultant and computer trainer, and I will be teaming up on November 30th And December 1st for our very requested Two Day Dental Business Conference here in Virginia Beach at the Virginia Beach Resort Hotel overlooking the beautiful Chesapeake Bay. Anytime there is a slow down in the economy people must make lemons out of lemonade. We are encouraging dentists to bring, not send their entire team as management is truly a team effort. <p>Our 6th Annual Speaking/Consulting Network will be held May 17-19 at the Embassy Suites Hotel in Las Vegas. The two day format has been extended to three full days for novice and experienced speakers and consultants. We will have 90 minute break-out sessions on various topics that are valuable to practice management consultants and speakers. Other highlights of the SCN Meeting will be ten minute showcasing of six SCN members, and a mock consultation where groups of ten people will dissect the practice problems, create a blueprint for changes and present these reviews of findings to other members in a ten minute presentation. If you wish to start or enhance your own speaking, consulting or writing business, this annual meeting is a must.</p>
<p>As I wrote in my last Dynamic Data, our SunFun Seminars are on hold until the first quarter of 2003. I am in the process of expanding our Two Day Dental Business Conferences into ten states by mid 2002. This along with bringing in two additional consultants last month will be a full load to concentrate on until 2003. It is my goal by 2004 to have one Certified DBC Trainer in all 50 states giving 4-6 Conferences in their state. As dentistry goes through the next difficult years and a possible recession, the work that we do to create more profitable practices through improved efficiency will be even greater in demand. After 23 years of constant travel, this &#8220;train-the-trainer&#8221; mode is exciting. There are so many talented people who can &#8220;carry the torch&#8221; for the most sought after Dental Business Conference in dentistry.</p>
